- A client operations portal of our own, with a workspace per client and requests, tasks, files and sign-offs kept together.

Our own in-house portal, designed at All In One Marketing Pro for managing client work from the first request to the finished result.
Client logos, files and access details lived in email threads and shared drives. Requests turned up by text, by phone and by email, and a few got lost along the way. Nobody could always say who owned a given task, approvals had no single route, and finding out where work stood meant sending yet more follow-up messages. We wanted every workspace, request, task, file and sign-off visible in one place to the people responsible.
Hiring a marketing agency is about results, but also about day-to-day working life: whether someone picks up your request promptly, you know who owns it and you can check progress without sending a nudge. Referral-driven service firms live on that experience. If you run a shop, crew or clinic in the Fraser Valley, you probably have no time to chase status updates, so a clear client view saves you the phone calls.
The problem
- Client files, logos and logins were spread over email threads and shared drives
- Requests came in by text, phone and email, and some were missed
- Nobody was sure who owned a task, and approvals had no single route
- Checking on progress meant chasing people with message after message
What we built
- Each client has their own workspace for tasks, files, messages and progress
- Requests follow a set form and turn directly into tasks that someone owns
- Reusable checklists and work-plan templates, so each service becomes a trackable plan
- A review queue where managers check the work, clients sign off, and then it ships
- Role-based access, so clients see only the items marked for them
- Emails go out automatically at every step
The platform today
- Every request from a client is now assigned to a named person, given a due date and shown with a current status
- Clients can view approved progress and reports without having to ask us for them

Challenges we see
in Professional services & real estate
- 01
Almost all my work comes from referrals, and referrals have slow months.
WHAT WE DO ABOUT ITA search-friendly site with one page per service and neighbourhood so strangers can find you, plus newsletters that keep past clients close. - 02
My website reads like a brochure, not proof that I know my field.
WHAT WE DO ABOUT ITCase studies, credentials, plain-English service pages and real photography that show your work and the people behind it. - 03
Enquiries arrive with the wrong budget, the wrong area or the wrong timing.
WHAT WE DO ABOUT ITForms that ask two or three qualifying questions, search and LinkedIn targeting by job title and area, and a short call script. - 04
Clients take months to decide, then go quiet.
WHAT WE DO ABOUT ITUseful emails, a market note or checklist, and remarketing that keeps your name in front of them until they’re ready.
What we used.
Delivery was scattered. Logos and logins sat in old email threads, requests reached us by text, phone and email, and it was hard to say who owned each task. Approvals followed no fixed route, and every status check turned into another message. The Hub puts each client’s work, files and sign-offs in one workspace.
A request starts as a structured form, then becomes a task with a named owner. Checklists and work-plan templates break each service into steps we can follow. When work is ready, a manager reviews it, the client signs off and only then does it ship. Emails go out automatically along the way, and clients see only the items meant for them.
The workflow has 6 steps, taking a request through to a delivered result. There are 4 role views. They cover our team, managers, clients and client teams. Each request is assigned, dated and tracked to the end, and clients see approved progress and reports without having to ask. It is built around GA4 and Search Console. Google Ads and Meta Ads are part of the picture too, along with Facebook and Google Business Profile.
Probably, if your team fields requests from many customers and juggles files and approvals, as a consultancy, clinic group or trades firm might. Your own workflow should drive the design, so we would first map how work travels through your team today. Our web portal development service covers builds like this.
