- An invite-only portal for ordering and supply that connects each franchise location with Uptown Corporate.

Uptown Med Spa is a medical spa franchise with several locations, and each location orders its products from the corporate team.
For Uptown’s franchise network, the aim was a single, structured channel for locations to order from corporate. Corporate had to review and approve every order before it moved on. E-transfer payments needed a clear step to track and confirm them. Each location was meant to see and order for itself only, so teams stayed inside their own lane. The brief became an invite-only portal where ordering, approval and payment follow the same path every time.
Franchise systems rely on consistency: the same approved products, suppliers and pricing rules at every site. Ordering over email and spreadsheets makes that hard, because approvals get buried and owners may see more than they should. A portal gives each location a view of its own orders and gives head office a clear record of who asked, who approved and what was paid. Fraser Valley owners with several sites, or a franchise in mind, can borrow the same idea.
The problem
- Each franchise needed a single, orderly way to request products from head office
- Corporate had to check and approve every order before it went ahead
- E-transfer payments needed a confirmation step anyone could track
- Every location should see and order only for its own store
What we built
- A curated product catalogue listing brand and supplier, with minimum order quantities and pricing rules applied automatically
- Orders move through five steps: browsing, submission, corporate review, payment, then fulfillment tracking
- E-transfer payments with optional proof-of-payment uploads, confirmed manually by corporate
- Private message threads linking each franchise with corporate
- Franchise owners add and manage their own team, with permissions limited to their location
- Corporate admin tools for order approvals, the catalogue, locations, users, network-wide reporting and audit logs
The platform today
- No order goes out until corporate has approved it
- Each location keeps a complete record of its orders and payments

Challenges we see
in Software & portals
- 01
Our team runs on spreadsheets, email threads and a shared drive.
WHAT WE DO ABOUT ITA single secure portal for requests, records and documents, built around the way your team already works. - 02
Customers and staff can see data meant for someone else.
WHAT WE DO ABOUT ITRole-based access, so growers, franchisees, inspectors or clients see only their own records, with a log of key actions. - 03
Approvals and orders get stuck, and nobody knows where.
WHAT WE DO ABOUT ITStructured workflows with status stages, notifications and a named owner at every step, so nobody has to chase. - 04
Our software is good, but visitors can’t tell what it does.
WHAT WE DO ABOUT ITA product site with a plain-language pitch, screenshots or short demos, comparison pages and a clear way to request a trial.
What we used.
Because locations order from one source, and corporate needs to control what ships. Here, every order had to be approved by corporate before processing, e-transfer payments needed a trackable confirmation, and each location had to see only its own activity. A portal builds those rules into the ordering flow itself instead of relying on emails.
A location browses a curated catalogue, then submits an order. Corporate reviews it, the location pays by e-transfer with optional proof of payment, and corporate confirms the payment by hand. Fulfillment is tracked to the end. Pricing rules and minimum order quantities apply automatically, and each franchise can message corporate in private threads.
Orders pass through 5 stages, with 2 access paths: one for franchise users and one for corporate. Those figures describe how the portal is built, not sales results. In practice, corporate approves everything before it ships, and each location keeps a full history of its orders and payments.
If your sites buy from a central team and you need approvals, location-level access and a record of every order, a portal can fit. The details should come from your own process: products, suppliers, who may order and who signs off. We would map that first, then build only what your staff will actually use.
More work with results like these.
